Set up a booking page so people can book time with you

A booking page lets clients, prospects and candidates pick a free time themselves, so you skip the email back-and-forth. Connect a calendar, choose who hosts, set the length and the hours you'll take, then add a short booking form. Visitors book without an account and get a confirmation and calendar invite.

Connect a calendar first

You can't create a booking page until a Google Calendar or Outlook Calendar is connected. Bridge checks it for conflicts and only offers times that don't overlap existing events.

Connect it in Account settings → Connectors → Calendars. Then open Scheduling in your workspace and choose New Page.

Choose who takes the meeting

Pick one of three scheduling methods. For collective and round robin, every host must be a member of your workspace with a calendar connected.

MethodWho attendsGood for
One-on-oneOne assigned hostYour own intro calls or office hours
CollectiveAll assigned hosts (at least 2). A time is offered only when all of them are free.A panel interview or a call that needs two specialists
Round robinOne host per booking, from at least 2. It goes to whoever is free and was booked least recently on this page.Spreading demo requests across a team

Set the location and length

The default location is Bridge video conferencing. Bridge creates the meeting link after each booking and puts it in the calendar event, the confirmation email and reminders. You can choose an in-person address instead, or leave the location to add later.

Durations come in 15, 30, 45 and 60 minutes. For anything else, set a custom length between 5 and 480 minutes.

Decide when people can book

Weekly availability sets the hours you'll take bookings. You can turn days on or off, add several time periods to one day in 30-minute steps, and copy one day's hours to the rest.

The scheduling window then narrows those hours:

  • Booking window: how many days ahead visitors can book.
  • Minimum booking notice: how many minutes must pass before a booked meeting can start.
  • Buffer before and after: time held free around each appointment for preparation or notes.

How the rules combine

A visitor only sees a time if it passes every rule at once: your weekly hours, your calendar, the booking window, the notice period and the buffers.

Say you take calls 10:00–16:00 with 240 minutes of notice. Someone looking at 09:00 sees nothing before 13:00 that day. If a call is booked for 13:00–13:30 with a 15-minute buffer after, 13:30–13:45 stays free.

Ask only what you need on the booking form

Name and email are always required. Add short text, long text, phone number or guest email fields, mark each one required or optional, and drag them into order. Guest emails are entered comma-separated, and those guests get the calendar invite too.

The answers show up in the host's confirmation email and in the Preparation tab of the meeting's Brief. Ask for what you'd want to read before the call, such as what the visitor wants to cover.

Confirmations and reminders

Every booking sends the visitor a confirmation email. The visitor, any guests and the host all get a calendar invitation. Both are on by default.

You can add up to six email reminders for the person who booked: 1 day, 1 hour, 30 minutes, 10 minutes or 5 minutes before, or when the meeting starts.

Offer Meet Now for instant calls

Meet Now adds a button that lets a visitor ask to meet right away. They fill in the booking form, and the host gets an email plus an in-app ringtone if Bridge is open in a browser tab. With collective or round robin, every available host is called and the first to answer takes it.

Set how long hosts have to answer: 30 seconds, 60 seconds or 2 minutes (the default). If nobody answers, the visitor goes back to the booking page with a prompt to pick a time instead.

  • Meet Now only appears when your calendar and availability show you're free. With collective, all hosts must be free.
  • Open access lets the visitor join straight away; Restricted makes them request to join.
  • Email reminders aren't sent, because the meeting starts at once.

Example: a 30-minute intro call

Here's an illustrative setup for a consultant who takes intro calls with prospects:

SettingExample choice
Method and locationOne-on-one, Bridge video conferencing
Duration30 minutes
Weekly availabilityTuesday to Thursday, 10:00–12:00 and 14:00–16:00
Booking window and notice21 days ahead, 1,440 minutes (one day) of notice
Buffers10 minutes before, 15 minutes after
Booking formName, email, company (optional), "What would you like to cover?" (required)
Reminders1 day before and 10 minutes before
Meet NowOff, so there's always a day to read the visitor's answers first

Keep the page live: statuses and link changes

Use the active toggle to take a page offline. Inactive pages are hidden from the public but keep their settings, so they work as drafts too.

A page shows Paused when something needs fixing. Paused: calendar disconnected means you reconnect the calendar. Paused: host removed means you assign a new host.

You can change the link slug at any time, but the old link then points to an inactive page. Update anywhere you've shared it, such as your email signature. If your team uses HubSpot, you can also sync each booking to HubSpot from the page's Connected apps section.
