Fireflies vs Fathom: compare plans, limits and team features

Fireflies and Fathom both record and transcribe video meetings, write AI summaries and offer a free plan. The real differences are in the limits. Fireflies' free plan caps storage and AI summaries. Fathom's free plan lists unlimited recordings and transcription, but holds back AI action items and limits advanced summaries.

The short answer

Pick by what you'll hit first. If you record many calls and mainly want a searchable record, Fathom's free plan limits you less on volume. If you want unlimited AI summaries at a low per-seat price, Fireflies Pro is the cheaper paid entry when billed annually.

Prices below are per user per month in US dollars, from each vendor's pricing page. Both show a lower price when billed annually. Plans change often, so check both pages before you buy.

Published plans side by side

Fathom's Team and Business plans need at least two users. Fireflies' Enterprise plan is billed annually only.

The free plans limit different things

Fireflies' free plan is limited by storage and AI use: 400 minutes of storage shared by the team, and a limited number of AI summaries. Its plan card says "Unlimited transcription" with an asterisk, but its comparison table lists transcripts as limited on Free. Confirm the current terms before you rely on it for regular meetings.

Fathom's free plan is limited by features instead. It lists unlimited recordings, transcription and instant summaries. AI action items start at Premium, and advanced summaries are marked as limited use on Free.

Team and sales features

Fathom separates collaboration (Team) from sales tools (Business). CRM field sync, Deal View and coaching metrics sit in Business. Its feature table also caps the basic CRM sync at three users per domain on several plans.

So a sales team that wants meeting notes written into CRM fields should price Fathom Business, not Team.

Fireflies puts unlimited storage and team analytics in Business, and SSO, SCIM, audit logs and custom retention in Enterprise. It lists transcription in more than 100 languages from the Free plan up. Business adds a multi-language mode, which matters if your meetings switch languages.

Which one fits which team

Neither pricing page tells you how accurate transcripts will be for your accents, vocabulary or room audio. Try both on a few real meetings before you commit a team.

  • Individuals who want unlimited recorded calls for free: Fathom Free, accepting that action items need Premium.
  • Small teams that want unlimited AI summaries at a low annual price: Fireflies Pro at $10 per seat billed annually.
  • Sales teams that need meeting insights in CRM fields: Fathom Business, or check which CRM actions Fireflies supports for your CRM.
  • Teams with multilingual meetings: look at Fireflies' multi-language mode on Business.
  • Organizations that need SSO, SCIM and custom retention: both vendors put these on Enterprise.

Where Bridge fits

Bridge is a meeting workspace rather than only a notetaker. You can also bring your Fireflies or Fathom history with you.

  • Host meetings on Bridge, with live transcription and a speaker-labeled transcript, notes and recording afterwards.
  • Capture Zoom, Google Meet or Teams calls with Bridge Agent, which the host admits. Or record bot-free with the Mac desktop app.
  • Connect Fireflies or Fathom to import past transcripts and notes for a range you choose, and sync new ones.
  • Export a transcript as PDF, Word or Markdown, or copy it.
  • Let Claude, ChatGPT or Gemini read your meetings through the Bridge MCP (not on the free Starter plan).
