Sync Bridge booking pages to HubSpot contacts and meetings

Connect HubSpot and turn it on for a booking page. Each booking then creates a HubSpot contact from the person who booked, logs a meeting record on that contact, and fills contact properties from UTM tags and form answers you map. Reschedules and cancellations update the meeting's outcome. The sync sends booking activity from Bridge into HubSpot.

What happens in HubSpot when someone books

The connection syncs booking activity. Here's what each booking event does:

Booking eventWhat Bridge does in HubSpot
A visitor booksCreates or updates a contact from the primary attendee's name and email, then creates a meeting record with the scheduled date and time and associates it with that contact
The meeting is rescheduledUpdates the meeting's dates and sets its outcome to Rescheduled
The meeting is canceledSets the meeting's outcome to Canceled
A visitor uses Meet NowStill shares the booking intake details with HubSpot

Which way the data goes

Data flows from your booking pages into HubSpot. The sync covers who booked, the meeting and the properties you map.

If you want an agent to read CRM records before a call or update them from what was said, that's what the Attio connection does. Bridge reads Attio records, deals and pipeline data for meeting preparation and agents.

Before you start

  • A connected Google Calendar or Outlook Calendar. You can't create a booking page without one.
  • A booking page to sync. HubSpot is turned on per page, not for your whole workspace.
  • A HubSpot user whose email matches the booking organizer's. The organizer becomes the contact owner.
  • The right HubSpot access. Bridge respects the permissions you already have in HubSpot.

Set it up

Connecting takes two steps: once for your account, then once per booking page.

  • Open Account settings → Integrations → CRM and connect HubSpot.
  • Open Scheduling, then edit the booking page you want to sync.
  • In the editor's Connected apps section, turn on HubSpot and choose what to sync: contacts, meeting records and the association between them.
  • Add property mappings if you want booking data in specific contact fields.
  • Save, then make a test booking from the public page and find the contact in HubSpot.

Map booking data to contact properties

Mappings copy values from the booking into HubSpot contact properties. You can add up to 25 per booking page, search your HubSpot properties as you pick them, and remove ones you no longer need.

Two kinds of token are available. UTM tokens read the tags on the link the visitor used: {utm:source}, {utm:medium}, {utm:campaign}, {utm:term} and {utm:content}. Answer tokens, written {answer:<questionId>}, read the answer to one custom question on your booking form.

Example: a demo request page

Here's an illustrative setup. A team shares its demo page in a newsletter as …/demo?utm_source=newsletter&utm_campaign=spring-launch. The form asks for company size and current tool. The property names below are examples; use the ones in your own HubSpot.

If something doesn't sync

  • No contact or meeting at all: check that HubSpot is turned on in that page's Connected apps section. Each page has its own setting.
  • Ownership looks wrong: check that the organizer's Bridge email matches a HubSpot user.
  • No new bookings arriving: check the page status. Paused: calendar disconnected means reconnect the calendar; Paused: host removed means assign a new host; Inactive means turn the page back on.
  • A UTM field is empty: the visitor arrived on a link without that tag. Bridge trims UTM values and caps each at 255 characters.
  • Some records can't be touched: Bridge only reaches what your HubSpot permissions allow.
