Minutes for the official record, not a recap

Minutes are the formal record of what a board, committee or council did at a meeting. They are approved at the next meeting, filed, and sometimes read years later by auditors, regulators, members or a court. That gives them a style of their own: neutral third person, past tense, no opinions, and an exact account of every motion that was moved and how the vote went.

The AI Meeting Minutes Generator writes minutes in that style from your transcript. It sets out the meeting details that were stated (date, time, place, chair, who was present and who sent apologies, quorum and when the meeting closed), then each agenda item in order with a short record of the discussion and how it concluded. Formal motions are listed separately with the mover, the seconder and the result, such as carried unanimously or carried with one abstention. Agreements reached without a motion, the actions assigned and the date of the next meeting follow.

Nothing is filled in for you. If nobody said who seconded a motion or what the vote count was, the minutes leave it out rather than guess, so the secretary can add it from their own notes before the draft goes to the members for approval.

Who uses AI-drafted minutes

Nonprofit and charity boards

Volunteer secretaries get a complete first draft the same evening instead of spending a weekend writing up the recording.

Committees and working groups

Finance, audit, safeguarding and grant committees keep a consistent record of every motion and resolution across the year.

Councils, school governors and HOAs

Public bodies and associations that must publish minutes get a neutral draft that records the outcome of each item without commentary.

Compliance and governance records

Regulated teams document who attended, what was approved and who owns each action, ready for review and sign-off.

Frequently asked questions

What should meeting minutes include?

Formal minutes usually record the date, time and place, the chair, who was present and absent, whether there was a quorum, each agenda item with a brief record of the discussion, every motion with its mover, seconder and result, actions assigned, the time the meeting closed and the date of the next meeting.

How are minutes different from meeting notes?

Notes are for the participants and can be informal. Minutes are the organization's official record: written in neutral third person, focused on what was decided and voted on, and approved by the members before they are filed.

Does it record motions and votes correctly?

It lists every motion that was formally moved, with the mover, seconder and result exactly as they were said in the meeting. When a seconder or vote count wasn't spoken out loud, that part is left blank for the secretary to complete.

Can AI-generated minutes be the official record?

Treat them as the secretary's draft. Read them against your own notes, correct anything that was misheard, then circulate them for approval at the next meeting as you would with minutes written by hand.

Is it safe to upload a confidential board transcript?

Your minutes are only visible to people you give the link to. Each link is long and random, results are never listed or indexed by search engines, and the transcript you upload is not used to train AI models. For closed sessions, remove anything you would not put in the minutes before uploading.

Can Bridge take minutes for every board meeting?

Yes. With a free Bridge account you can record and transcribe your meetings, keep every set of minutes in one place and ask the AI assistant what was decided at any past meeting. Learn more →
